For UK salon owners who want fewer missed appointments, faster follow-up and steadier client rebooking without making the salon feel automated.

Work through the sections when reviewing your booking system, inbox, client messages and waitlist. The aim is to take care of repeatable admin while keeping judgement and care with your team.

Appointment reminders that feel helpful

Set a simple reminder rhythm so clients have a fair chance to confirm, move or cancel before the slot is wasted.

  • List where bookings come from: Fresha, Treatwell, Timely, Vagaro, your website, phone calls, social messages and walk-ins.
  • Write short reminders for 48 hours, 24 hours and 2 hours before the appointment, with the date, time, treatment and a clear confirm or cancel option.
  • Pause extra reminders as soon as the client confirms, so the messages stay useful rather than annoying.

Confirmations and cancellations

Make it easy for clients to do the right thing, and make sure your team sees the change quickly.

  • Send a warm confirmation when an appointment is booked, including any deposit, patch test or arrival notes that matter.
  • Route cancellation replies to one place your team already checks, such as the booking system, inbox or a shared phone.
  • Flag late cancellations for a person to review before any fee, deposit or sensitive reply is sent.

Waitlist messages for empty gaps

A cancelled slot is only useful for a short time. Your waitlist needs to hear quickly, in the right order.

  • Keep a simple waitlist with preferred days, times, treatment type, stylist or therapist, and how much notice the client can manage.
  • When a slot opens, message the best match first with the appointment time and a clear reply window.
  • If there is no reply within the chosen window, offer the slot to the next person and stop the chain as soon as someone confirms.

Rebooking nudges after the last visit

Good clients often mean to come back, then life gets busy. A well-timed nudge can help without feeling pushy.

  • Choose the right timing by service: for example, colours, brows, nails, facials, lashes or regular cuts may each need a different gap.
  • Send a friendly message when the normal rebooking window is coming up, with a direct link or clear way to book.
  • Do not send the nudge if the client already has a future appointment in the diary.

Review requests after appointments

Ask while the visit is still fresh, and make it easy for happy clients to help your salon be found.

  • Send the request around 24 hours after the appointment, once the client has had time to settle with the result.
  • Use one clear review link, such as Google Business Profile, and keep the message short and personal.
  • Send unhappy replies or low ratings to a person first, so the team can handle the issue properly.

Birthday and retention messages

Small, timely messages help regular clients feel remembered without adding another task to the diary.

  • Collect birthday month and contact preferences only where you have permission and a clear reason to use them.
  • Send a birthday message one week before the date or month starts, with a simple offer if that suits your salon.
  • Review the offer every few months so it stays profitable, easy to honour and right for your regular clients.
