Work through the sections when reviewing your transport management system, carrier records, tracking process and invoicing. The aim is to automate routine chasing and updates while keeping planning, exceptions and customer decisions with your team.
Carrier sourcing and vetting
Keep carrier selection consistent, so staff are not re-checking the same insurance, compliance and rate details on every load.
- Maintain one carrier record per haulier, holding insurance and licence expiry, operating regions, equipment types and agreed rates.
- Prompt for a compliance re-check when a document is due to expire, and hold a carrier off new loads until the record is current.
- Route a new, unknown or previously flagged carrier to a person for approval before a load is offered, rather than booking automatically.
Load posting and booking
Capture the details of a booking once, so confirmations, rates and references do not get re-keyed across systems.
- Record each load once with collection and delivery points, timings, rate, reference and any special requirements, then reuse it downstream.
- Send the rate confirmation and booking details to the carrier from a template, and store the signed confirmation against the load.
- Flag a load with a missing rate, an unconfirmed slot or a booking outside agreed terms for a planner to resolve before it goes ahead.
Check calls and tracking updates
Trigger check calls and updates from the collection and delivery windows, so tracking does not depend on someone remembering to phone.
- Set the expected check-in points for each load: booked, loading, in transit, at delivery and completed, with the times they are due.
- Prompt for a status update at each point and send the customer a tracking note from a template when the status changes.
- Escalate a missed check call, a running delay or an at-risk delivery to the planning desk rather than sending another automated prompt.
Document collection (PODs and paperwork)
Chase and file proof of delivery and load paperwork consistently, so nothing is missing when it is time to invoice.
- List the documents each load needs: signed POD, CMR where relevant, weighbridge tickets, customs paperwork and any damage notes.
- Remind the carrier or driver for outstanding paperwork on a set schedule, and stop the reminder once the document is received and filed.
- Flag a disputed, illegible or missing POD for a person to chase directly instead of releasing the load to billing.
Billing and invoicing
Release invoicing from confirmed delivery and paperwork, so billing is accurate and does not wait on manual checking.
- Hold a load out of invoicing until delivery is confirmed and the required paperwork is filed against the record.
- Draft the customer invoice from the agreed rate and load details, and raise the carrier purchase invoice from the rate confirmation.
- Route a rate discrepancy, a query on charges or an accessorial that needs approval to a person before the invoice is sent.
