Cleaning company hours-back checklist

For UK cleaning companies that want staff messages, client reminders, quote follow-up and invoice chasing to run more consistently.

Work through the sections when reviewing your rota, client communication, quote process and accounts routine. The aim is to remove repeated admin while keeping judgement with the owner or manager.

Weekly staff assignment messages

Send the right job details before the week starts, so cleaners do not need to chase for times, addresses or access notes.

  • List where the weekly rota lives now: spreadsheet, calendar, job system, WhatsApp thread or paper diary.
  • Decide what each cleaner needs for every job: date, start time, client name, address, access instructions, parking notes, supplies and who to call if plans change.
  • Set one weekly send time, then check the rota before the messages go out so last-minute changes are caught by a person.

Client booking confirmations and changes

Keep clients clear on when you are coming, especially for recurring cleans, one-off jobs and rescheduled visits.

  • Write a short confirmation for recurring clients that includes visit time, property, cleaner or team name, and any access details you need them to check.
  • Add a simple route for changes, such as asking clients to reply before a set cut-off if they need to move a visit.
  • Flag bookings with missing access notes, key details or special instructions for manual review before staff are sent out.

Quote follow-up for new cleaning contracts

Follow up quotes without awkward chasing, while keeping the message useful and easy for the client to answer.

  • Separate quote types, such as office cleans, communal areas, end-of-tenancy work, deep cleans and regular domestic cleaning.
  • Set gentle follow-ups at 2, 5 and 10 days after the quote is sent, then stop the follow-up as soon as the client replies.
  • Include the quoted service, property or site name, proposed start window and one clear question about whether they want to go ahead or adjust the scope.

Invoice due dates and late payments

Make payment checks part of the system, not another job that depends on remembering to review the ledger.

  • Review where invoice dates and payment terms are held, such as Xero, QuickBooks, FreeAgent or a spreadsheet.
  • Send a polite heads-up before the due date, a short reminder on the due date and a firmer note when an invoice is overdue.
  • Pause reminders as soon as payment is logged, and keep any disputed invoice with you for manual handling.

Client communication problems

Turn repeated client questions into planned messages, so the same interruptions do not keep landing during the working day.

  • Write down the questions that come up most often: arrival time, cleaner changes, supplies, keys, missed visits, cancellations and extra tasks.
  • Create plain templates for each one, using the same tone you would use in a normal client message.
  • Decide which messages can send automatically and which need you to approve them first, especially complaints, cancellations and service problems.

Weekly admin review

Keep a short review in place so the system helps you, without sending the wrong message when something has changed.

  • Choose one weekly review slot to check the rota, unsent quotes, overdue invoices, missing client details and jobs with special notes.
  • Keep a short list of exceptions that should never send automatically, such as unhappy clients, new sites, disputed invoices or staffing changes.
  • Update templates when a cleaner, client or job type changes, so the messages stay accurate instead of becoming another thing to fix.
