The problem

Assume 60 completed jobs a month, and 10–15 minutes chasing the POD and paperwork for each one before the invoice can go out. That creates a 10–15 hour monthly range to investigate — and every day an invoice waits on paperwork is a day added to getting paid.

The operator should also record its actual completion-to-invoice lag and debtor days. This scenario does not assume either baseline.

What the Blueprint found

An operator like this usually has the PODs — on driver phones and in subcontractor inboxes — but they arrive unprompted only some of the time, so the office chases the rest by phone and WhatsApp. A workflow session often surfaces that the transport system already records job completion, and that status change is connected to nothing.

If that holds, the Blueprint would test completion-triggered POD requests as the first option, with invoice chasing behind it. The TMS, exceptions and approval points must be confirmed in the actual operation.

What gets built

A POD request that goes to the driver or subcontractor the moment a job is marked complete, with a polite escalation if nothing comes back. Once the POD lands, the invoice is released for approval rather than waiting for someone to remember it.

What changes

The implementation hypothesis is that invoices go out days earlier and chasing happens consistently without interrupting the ops desk. Exceptions — lost PODs, disputed deliveries — still need people, so no completion rate should be promised.

Measure chasing time, completion-to-invoice lag and debtor days for four weeks before and after launch. Any improvement is an observed result only after that comparison.
